Add action form

This popup form can be accessed via the Add menu iconadd menu in the top header area of the selected asset view page (e.g. Contact details iconorganisation, Programme iconprogramme, Project iconproject, Subproject iconsub-project, Risk map iconrisk, issues iconissue, Defect maps icondefect, Change requests iconchange request, icon_useruser, Lesson maps iconlessonbenefitbenefit, Contracts iconcontract, Task map icontask, Milestones iconmilestone etc), as shown in Figure 1. Alternatively you can access the Add iconadd popup form at the bottom of the Actions tab at these same view pages, as shown in Figure 2.

This popup is shown in Figure 3 and is used to add a new Actions iconaction for the selected asset.

Click the “Cancel” button if you no longer want to add a new action.

This form has the following fields:
Parent asset: This read-only field shows which asset you are creating this new action for.
Reference*: This mandatory field is used to specify a reference for this new action, e.g. 01. The reference must be unique within your parent asset. If you click on the Reference icon “Find Next Reference” button next to the reference field then the system will find the next available reference number. For example if you enter the reference A_00 then the system will try A_001, A_002 etc until it finds an available value.
Description: Enter a description of this new action here.
Priority: You can specify a priority for this new action here. You can sort actions by their priority in the action tables.
Due date: Select the due date for this action here. You may manually enter the date using one of the date formats, or you can choose the date using choose date iconcalendar control.
Owner: You may select multiple users to own this new action by holding the CTRL or SHIFT keys and clicking on the name of the additional user(s). To de-select, click on the highlighted name while still holding the CTRL or SHIFT keys so as not to lose all other selected users.If you select more than one owner then multiple actions will be created with the same information, each allocated to one of the owners selected.
Workflow: Select the applicable Workflow iconworkflow for this new action. This field will only be editable if you have access to any action workflows. If you do not have access to change this field then this read-only field will show that the workflow is assigned to be the Basic Open/On-hold/Close workflow.
Custom fields: If there are any custom fields defined for your actions they will appear here.
Add more: Leave this check box selected if you would like to keep this form open to add more actions to this asset after this new action has been created.
*The reference field is mandatory, but all others are optional. If you accidentally try to add a new action with the same reference as an existing action for your selected asset then you will get a warning message. Once you are happy with your entries click the “Add action” button at the bottom of the form. This will add a new action with the details that you supplied. The new action can be viewed in a number of locations, including the Actions tabs at the parent or higher level asset’s view pages, as shown in Figure 4. Alternatively you can view the new action from the parent asset’s dashboard in the Open Actions dashlet, as shown in Figure 5.
